Summary
SysGears provided staff augmentation services for a digital agency that required additional design capacity to support a growing portfolio of projects. Starting with a single designer and later expanding the team, we integrated experienced specialists into the client’s existing workflows. With the help of our professionals, the client managed to increase delivery capacity without slowing down ongoing operations.
SysGears’ experts contributed to a wide range of design activities, including UI/UX design, website design, branding, prototyping, and marketing asset creation. By providing ready-to-contribute specialists, SysGears helped the client respond to project demand faster, maintain design quality across engagements, and support continued business growth through a flexible design team augmentation model.
About Our Client
Our client is a U.S.-based agency that provides digital marketing and web design services for businesses across multiple industries. Its service portfolio includes branding, custom web design, UX/UI design, SEO, paid advertising, social media marketing, as well as related initiatives that help companies improve their visibility, customer engagement, and digital performance.
As the agency’s project volume increased, it needed additional design resources to support client work without extending delivery timelines. To keep pace with demand while maintaining quality standards, the client sought experienced designers who could quickly integrate into its existing workflows.
Challenges
As the agency took on more client projects, its internal design team no longer had enough capacity to support all incoming work. Hiring additional designers through a traditional recruitment process would have taken time, while existing client commitments required immediate support.
This created several challenges:
- Minimal onboarding time: Because many projects were already in progress, the agency needed a designer who could join existing workflows and start contributing quickly.
- Consistent quality standards: Any additional specialist had to deliver work that aligned with the agency’s established design approach, quality expectations, and client requirements.
- Diverse project requirements: The designer was expected to support different types of work, including website design, UI/UX design, branding, marketing materials, and visual content creation for clients operating in industries such as healthcare, manufacturing, technology, education, nonprofit organizations, and B2B services.
Our Expert’s Take on the Project
“Working with an agency requires a different mindset than working on a single product. Every project has its own audience, goals, visual style, and business context, so success depended on being able to adapt quickly, understand new requirements, and deliver design work that aligned with both the agency’s standards and the expectations of its clients. One of the most interesting aspects of this collaboration was the variety of work: we could be designing a website for one client, creating branding assets for another, and improving an existing digital experience for a third. Because the agency already had established processes, our priority was to integrate quickly, understand each project’s requirements, and start contributing without creating additional overhead for the internal team.”

Delivery Process
Rapid Team Integration
The engagement began when the client needed additional design support. A SysGears designer joined ongoing projects and started working within the agency’s existing communication, review, and design processes.
Design Support Across Multiple Projects
Depending on project requirements, our specialists contributed to website design, UI/UX design, branding, marketing materials, and visual content creation. Activities included sitemap planning, wireframing, prototyping, UX structuring, interface design, mobile adaptation, and preparation of design assets for development teams.
Collaboration and Communication
Design work was coordinated through regular communication, design reviews, and direct collaboration with the agency’s CEO and Art Director. As the volume of work increased, additional SysGears designers joined the engagement to support ongoing and new client projects.
Although the teams worked from different time zones, overlapping working hours allowed them to discuss requirements and feedback in real time. Design work completed by SysGears specialists was often ready for the client to review the following morning, helping maintain steady project progress.
Solutions
Providing Additional Design Capacity
The engagement started with a single designer who joined the agency’s ongoing client work. As project demand increased, additional SysGears specialists joined the collaboration, allowing the agency to expand design capacity without slowing active projects or increasing its internal headcount.
Supporting a Broad Range of Design Initiatives
SysGears designers contributed to website design, UI/UX design, branding, marketing materials, and interactive visual content for the agency’s clients. Depending on project requirements, they worked on sitemap creation, wireframing, prototyping, UX page structure, design concepts, UI design, mobile adaptation, and design handoff preparation for development teams. The team also supported selected projects with 3D visuals, video assets, and mascot design.
Becoming Part of the Agency’s Workflow
Working alongside the agency’s internal team, SysGears designers became part of the day-to-day delivery process. They collaborated directly with internal stakeholders, participated in design reviews, and worked on active client engagements alongside the agency’s team, allowing projects to move forward without additional coordination overhead.
Contributing Independent Design Perspective
Beyond executing assigned tasks, our specialists shared recommendations based on experience gained across different projects and industries. When opportunities for improvement arose, they proposed alternative design approaches and refinements that helped improve usability, visual consistency, or overall design quality.
